How payment works
The current BATFLOWS payment flow may require you to choose a plan or seat upgrade, select an available bank or wallet destination, make the transfer outside BATFLOWS, then submit the payment for review. A transaction reference and payment screenshot/receipt are optional at submission, although either can help BATFLOWS verify the transfer faster.
Each unpaid invoice is valid for six hours. If payment has not been submitted for review before the invoice expires, BATFLOWS removes it from the customer's payable invoice list and a new invoice must be created.
Your subscription is not active merely because money has been sent or a screenshot has been uploaded. Payment must be verified and the corresponding BATFLOWS entitlement, activation or renewal must be applied.
Verification and activation
BATFLOWS may review the payment amount, any transaction reference or proof you choose to attach, destination account, plan, billing term, customer identity and other details reasonably needed to verify the transfer.
If BATFLOWS cannot reasonably verify the payment, we may request more information or optional supporting proof. A missing screenshot or transaction reference does not by itself prevent submission.
Access begins when BATFLOWS records the applicable entitlement or activation. The activation timestamp, expiry date and seat limit shown in the account are the operational record for the subscription.
WhatsApp / Meta messaging fees
BATFLOWS subscription payments cover BATFLOWS software and do not include WhatsApp Business Platform messaging fees charged by Meta. Where a connected WhatsApp Business Account uses a chargeable template or other chargeable message category, any Meta fee is the responsibility of that WhatsApp Business Account owner and is paid through the owner's Meta / WhatsApp billing arrangement.
BATFLOWS does not collect, pay or add a markup to Meta messaging charges. Because those third-party charges are not paid to BATFLOWS, they are not refundable by BATFLOWS. Customers should review WhatsApp's official pricing before enabling paid template messaging.
When a refund may be available
Subject to applicable law, BATFLOWS may approve a refund where:
- the same BATFLOWS charge or transfer was paid twice by mistake;
- BATFLOWS received a verifiable payment but cannot activate the purchased service due to a BATFLOWS-controlled error;
- BATFLOWS applied the wrong plan or seat entitlement and cannot reasonably correct it;
- a payment was made to a valid BATFLOWS destination but the transaction was cancelled before any entitlement was activated, where reversal is reasonably possible; or
- applicable law gives you a non-waivable right to a refund.
Approval may require evidence that identifies the payment and confirms the refund destination belongs to the payer or an authorized recipient.
Generally non-refundable situations
To the extent permitted by law, BATFLOWS generally does not refund:
- used subscription time after successful activation;
- change-of-mind requests after the purchased entitlement has been activated;
- unused time caused by the customer's decision not to use the Service;
- seat upgrades after the additional seats have been successfully applied;
- bank, wallet, currency-conversion or transfer fees charged by a third party;
- loss of WhatsApp or Meta access caused by the customer's policy violation or a third-party enforcement decision outside BATFLOWS' control;
- service restrictions caused by breach of the BATFLOWS Terms, fraud or abuse; or
- amounts that BATFLOWS never received or cannot verify.
Pending, failed and incorrect payments
An unpaid invoice does not reserve a permanent price, plan, seat limit or service period unless BATFLOWS expressly states otherwise. Unpaid invoices expire after six hours. A customer may delete an unpaid invoice, change its payment method, or remove an optional receipt before submitting payment for review.
Once the customer presses “I have paid,” the invoice is locked while BATFLOWS verifies the transfer. The customer can no longer delete the invoice, change its payment method, or remove the submitted receipt unless BATFLOWS returns the payment for more information.
If you pay the wrong amount, send funds to the wrong destination or enter an incorrect reference, contact BATFLOWS Support before making another payment. Do not repeatedly pay the same request unless Support instructs you to do so.
Renewals, expiry and cancellation
Unless a future payment method expressly states that it renews automatically, BATFLOWS subscriptions are renewed through a new payment and verification event. If renewal is not completed before expiry, paid CRM access may stop or become limited according to the entitlement state shown in the account.
A customer may schedule cancellation of an active subscription at the end of the current paid period. Access continues until the recorded expiry date. Cancelling does not create a refund for unused time in an already activated paid period, except where applicable law provides a non-waivable refund right.
Business seats and plan changes
Business plans may include a defined number of team seats. Additional seats may require a separate upgrade payment or activation. Seat availability is determined by the active entitlement stored in BATFLOWS, not only by a payment screenshot.
Where BATFLOWS supports a scheduled plan change, downgrade or change at renewal, the timing shown in the account or BATFLOWS Admin conversation controls when the new plan becomes effective.
How to request a refund
Open your BATFLOWS Admin conversation and describe the payment-related issue. Include the workspace/account, transaction reference, payment date, amount, payment destination, any proof available to you and the reason for the request.
Do not include passwords, PINs, full card credentials or one-time security codes. BATFLOWS may request additional proof reasonably necessary to prevent fraud or return funds to the correct payer.
Approved refund method
Approved refunds are normally returned through a reasonable method selected by BATFLOWS, which may be the original bank/wallet route or another verified destination belonging to the payer. Processing time can depend on banks, wallets, weekends, compliance checks and other third-party systems.
BATFLOWS is not responsible for delays after a refund has been released to the relevant bank or wallet provider.
Payment disputes and chargebacks
If you believe a payment was unauthorized or materially mishandled, contact BATFLOWS Support first so the transaction can be investigated. Fraudulent disputes, false payment proofs or abusive chargeback activity may result in account restriction and preservation of relevant security and payment evidence.
Policy changes
We may update payment methods, verification procedures or this policy as the product evolves. The policy in effect when a payment request is created will normally govern that payment, subject to non-waivable rights under applicable law.
